User management can be accessed in the “Administration” area by opening the “Users” subpage or directly via https://www.netcloud.run/Admin/Customer/List
Create user
A new user for the NET Cloud portal can be created by an administrator. Using “Add new”, the required entries can be made in the form “Add a new customer”.
Required entries:
- First name
- Last name
- Email address
- Organization
- Country
The remaining fields are mandatory-optional, but if information is missing they can be filled with “xx”.
In addition to the personal data, roles should already be assigned at this point.
View or edit user data
After a new user has been successfully created, they appear in the list. By clicking on the corresponding entry (ID, email, or name) or on the “Edit” button, the user’s data can be viewed and supplemented.
The detail view of a user/customer contains, in addition to “Customer information” and “Roles”, a large number of further tabs with detailed information on various topics related to the user.
Assign roles
Access to functions in NET Cloud is controlled via roles. Each user is assigned one or more roles that grant the necessary permissions for certain actions within the platform. NET Cloud provides a variety of predefined roles that are tailored to typical requirements.
The combination of assigned roles determines the final scope of permissions of a user. Role assignment is therefore a central element for controlling user rights and ensuring system security. Without an assigned role, a user has no access to any NET Cloud functions.
The following are the most important roles:
Registered: User is registered in NET Cloud and can log in (assigned automatically).
NET Cloud Read Only User: User can view projects in NET Cloud.
NET Cloud Office & Field User: User can view projects in NET Cloud, edit them, and execute functions.
NET Cloud Field Photo App User: Permissions for using the photo app; uploading photos to NET Cloud via the photo app.
NET Cloud Maps User: Permissions for working with NET Cloud NET Maps projects (map information).
NET Cloud Administrator: Access to the NET Cloud administration area.
Imitate a user
Here, an administrator can imitate the role of a user in order to test functionalities after creation. Imitation is also helpful for tracking down reported errors.
Important: After imitating a user, the session must be ended again to avoid permission issues later. The imitation also affects the mobile app.
Activity log
Here, the logged activities of the user can be displayed in a log.
2FA (two-factor authentication)
Here, an administrator can require a user to use two-factor authentication for the NET Cloud portal. Important notes on the procedure are displayed here and should be observed.
Delete user
Deleting a user can be done via the button in the upper right corner, as shown in the image. Alternatively, a user can be set to inactive.
Note:
However, we strongly recommend not deleting users from the system. Instead, it is more advisable to deactivate users, as restoring deleted users is only possible with considerable effort.
Visible projects
Here you can find an overview of all projects the user has access to. If the user’s access is to be extended to new projects, the approval must be set within the respective project. Read here how to add users to a project.
Create organization
When creating a NET Cloud user, it is mandatory to assign them to an “Organization” (group). To set up such an organization, the dialog under “Add new” on the page https://www.netcloud.run/Admin/Organisation/List
can be used.
The name and billing reference must be filled in, with the billing reference being a unique designation. The customer’s logo can also be stored. The uploaded image is automatically inserted at the appropriate places on the website.
Note:
A user cannot be assigned to multiple organizations.
