File Management

In the “Files” module you will find important functions for managing your project documents.

Files overview / dashboard

In the file overview you receive the number of files in the selected project, grouped by specific properties. You can choose between a list view or a pie chart, which can be selected via the toggle in the upper right corner.

By clicking on a list entry or the desired segment of the pie chart, you automatically switch to the list view of the corresponding search query. The following screenshot shows the view after clicking on the green pie segment “TKI” under the group “Organization”.

To illustrate the functionality, here are some examples of commonly used searches:

  • Search for files that were uploaded within a certain period of time (here: in the month of March 2023)

  • Search for a character string as part of the file name, for example the term “Nvt”.
    When using the “contains” logic in the search string, it is necessary to use certain placeholders analogous to regular expressions.

  • Search within a cluster
    For this purpose, using the map view is recommended, from which the search filter can be directly transferred into the file search.

    Procedure:

  1. Switch to the map view in the file management of the respective project
  2. Select the search cluster via the map
  3. In the displayed properties form, use the button “Add to file search filter” with selection of the feature geometry. The search filter is added to the search mask.
  4. The search within the cluster can now be supplemented with additional conditions

The search queries can be saved as a file of type “.json” via export and reopened via import. Within the browser itself, only one search query without a file name can be saved and restored or deleted.

Upload and download files, delete files

All necessary functions for managing files can be found above the file list.

1 Upload files Leads you to the selection of files to be uploaded, or you can simply drag and drop the desired files into the file list
2 Delete selected files All files marked via the checkbox are deleted from the list; accidentally deleted files can be restored via the file dashboard with admin rights
3 Download selected files

All files marked via the checkbox are packed into a zip file and are available for download in the download area for one week

4 Download files All files from the list are downloaded; with empty search criteria, all files belonging to the selected project are downloaded
5 Manage tags Keywords (tags) can be added to files to make them easier to find and can also be removed if required

 

Using tags

A “tag” is a keyword intended to help classify content more effectively. Tag-based categorization can be especially helpful in large projects to obtain a quick overview or to make searching for specific topics easier.

For example, photos of different construction phases can be classified using keywords such as “before”, “after”, “Lot1”, etc., to indicate construction progress, or according to the visible technical object such as “house connection”, “joint”, etc.

These “tags” can be assigned directly to a single file via its properties or to a larger number of files via the file manager.

The properties of a file can be displayed by clicking on the file name. The tags that have already been assigned are also visible here.

Assign tags via the file manager

For assigning tags to a large number of files, the “Manage tags” functionality is provided. After filtering or selecting the relevant project files, tags can be added, removed, or replaced.

Tags can be selected from existing ones or extended by adding new entries.
